Scope of this Privacy Policy

This Privacy Policy covers Virtual Card Services (Pty) Ltd (hereafter VCS) treatment of personally identifiable information collected from merchants who use the VCS payment gateway services, as well as cardholder information that we acquire in the course of our business.

This Policy does not apply to the practices of companies that VCS does not own or control, or to people that VCS does not employ or manage.

Information Collection and Use

The personally identifiable information VCS acquire in processing payment transactions varies according to the nature of the transaction and the way in which merchants are using our payment services.

Personally identifiable consumer information is used to process payment transactions and for no other purpose.

Information Sharing and Disclosure

Protecting personally identifiable information about merchants and cardholders is an important part of our business. We share and disclose such information only as described below.

VCS will send personally identifiable information about you to other companies when: 1) we have your consent to share the information 2) we need to share your information to provide the product or service you have requested.

Personally identifiable cardholder information is shared with third parties (such as banks and credit card processors) to the extent necessary for VCS to deliver payment-processing services.

VCS reserves the right to disclose any information in its possession if required to do so by law or upon a good-faith belief that such action is necessary to comply with the law, to protect or defend the company’s rights or property, or when required to do so by the acquiring bank to assist with queries or fraud investigations. We may release personally identifiable information when we believe release is appropriate to enforce or apply the Merchant Agreement and other agreements.

Our website does not permit any party to conduct searches for the identity of any company or individual under agreement with VCS.

VCS regards cardholder information as confidential and that information will not be sold.

Information Security

Information security is critical to our business. We work to protect the security of your information during transmission by using 128 bit Secure Sockets Layer (SSL) software, which encrypts information you input. Our servers are certified by Thawte, a public Certificate Authority, ensuring you and the merchant that nobody can impersonate VCS to obtain confidential information.

We store information gathered on secure computers. The number of employees involved in the management of the data center that have physical access to these computers is limited. We use firewalls and other security technology to prevent our computers from being accessed by unauthorised persons and against disclosure, alteration or destruction.

The merchant is never permitted access to the cardholder’s card details.

It is important for merchants to protect against unauthorised access to their Login ID and password used to access the VCS services.

VCS shall continually review and enhance its security systems in line with technological changes.

VCS reserves the right to modify or amend this Privacy Policy at any time and for any reason. If you have additional questions about this Policy, please contact us at support@vcs.co.za.
